Halifax Chamber Choir was established in Halifax (UK) in 1899 and is a not-for-profit mixed-voice community choir singing a wide range of repertoire.
Privacy and Personal Data
What is this policy for?
Halifax Chamber Choir is committed to protecting your personal data and will use any personal or sensitive data we collect from you. In Europe, this is in line with the General Data Protection Regulations (GDPR) 2018. This policy tells you how we will use, store, protect and dispose of your personal data.
What data do you collect and what do you use it for?
We collect data from individuals to help us run the day-to-day operations of a choral group, organise events and promote the activities of the group.
For members this includes:
- Coordinating rehearsals and managing attendance
- Organising and promoting concerts
- Photos/videos of rehearsals to be shared on our website, promotional materials and social media
For people attending our concerts as audience members and ‘Friends’ of Halifax Chamber Choir, this includes:
- Ticket purchasing
- Newsletters, updates and promotional materials
- Fundraising donations
How we communicate with you
We’ll contact you in accordance
with the preferences you have indicated to us when you buy a concert ticket,
attend one of our events, sign up for our newsletter, make a donation or
communicate with us.
Your data helps us:
- To give you the relevant information for the concerts you have bought tickets for
- Get in touch with you, should changes to your concert booking occur
- To ensure we always have your most up-to-date contact preferences and that we abide by them
- Keep a record of your relationship with us
- To inform you of our concerts, events, fundraising activities and other choir-related news which we hope will be of interest to you
- Improve our services to invite you to take part in feedback or surveys from time to time
Members of the choir
Your personal details are kept safely as part of your contractual/membership agreement with the choir. For
anyone under the age of 18, parental consent is required before personal details are collected and processed.
To help us promote our concerts and events, we may also share your name, role and publicity material (including
photos and audiovisual content) on:
- Printed brochures, programmes, posters and adverts
- The Halifax Chamber Choir website and other websites that feature our concert listings
- Social media related to Halifax Chamber Choir concerts, events and activities.
Ticket sales
We sell tickets on the door at admission to our concerts and events. We accept cash and credit card payments. We also use the online ticketing platform Eventbrite to allow audience members to buy their tickets for our concerts online. For online ticket sales, your payments will be handled and processed by Eventbrite directly. Please refer to Eventbrite’s Privacy Policy for further information.
Donors of the choir
Anyone wishing to support the activities of the choir may do so by contacting the choir’s administrator by email: halifaxchamberchoir@btinternet.com. With your consent, we will keep in touch with you via our mailing list to keep you updated about our upcoming concert performances and events. You can opt out of these communications at any time.
Social media
We use social media, such as Facebook (@hcchoir), Twitter (@HxCChoir), and Instagram (@halifaxchamberchoir) to share news and updates with our audience. We may reply or comment directly to you on these social media platforms. You should check the Privacy Policy of each platform when you provide your information to understand fully how they will process your data.
Do you share my data with anyone else?
Halifax Chamber Choir will never pass your details onto third parties for marketing purposes.
Our website domain host, Nimbus Hosting, also has access to the data stored in our website. Nimbus has their own Data Protection Policy.
How we protect your privacy
Data sharing
As a charity, we may be required to share information with other organisations, e.g. Arts Council England, who use this to analyse our grant-funded programmes, ticket sales and self-generated funding to understand the impact of any grant or public investment made. This information will be anonymous and not contain any identifiable personal details.
For performances involving children and young people, we’re legally required to share specific data on performers aged 16 and under to acquire performance license consent from the relevant local authority.
In no other circumstances will we share, sell, or rent individual personal information with anyone without your advance permission or unless ordered by a court of law. Information submitted to use is only available to people managing this information for purposes of contacting you or sending you emails based on your request for information and to contracted service providers for purposes of providing services relating to our communications with you.
Third party websites
Our website may contain booking links to other venue websites and to online ticketing platforms. We are not responsible for the privacy practices of these organisations and you should read the privacy policies that apply to those organisations. The Halifax Chamber Choir privacy policy applies only to personal information collected by us.
How long do we keep your personal details?
We do not retain personal information for longer than is necessary.
If you are a current or past customer who has attended Halifax Chamber Choir concerts and events, we’re legally required under VAT regulations to retain appropriate financial records for six years.
If you are a current or past donor, Gift Aid regulations require appropriate records to be retained for seven years.
We’ll only keep your personal details outside of the stated periods above if:
- The law requires us to hold your personal information for a longer period, or delete it sooner
- You have raised a complaint or concern regarding one of our concerts or events, and your personal details will be retained until the matter is considered resolved between you and the choir
What are my rights?
You have the following rights related to your personal data:
- The right to request a copy of personal information held about you
- The right to request that inaccuracies be corrected
- The right to request us to stop processing your personal data
- The right to withdraw consent
- The right to lodge a complaint with the Information Commissioner’s Office or Fundraising Regulator
How can you stop receiving communications from us?
You have the right to request a copy of any information about you that Halifax Chamber Choir holds at any time, and also to have that information corrected if it is inaccurate. To request your information, please contact the choir’s administrator by email: halifaxchamberchoir@btinternet.com
You can change your mind and withdraw your consent to us using your personal data at any time but bear in mind that details such as VAT and Gift Aid records must be retained to comply with legal standards.
You can ask us to stop processing your personal data on the basis of our legitimate interest, unless we feel we have a legitimate overriding reason to continue processing your personal data.
